How does BuildTrack handle COGHSTA claim submissions?
BuildTrack generates the full COGHSTA-compliant claim pack in the required fixed document order: Inspection Report, Engineer's Certificate, Happy Letter (C1.3 only), Claims Check List, Claim Housing Subsidy, Claim Confirmation Signatory, Highlighted Status Report, and all your contract documents. Can I use my own engineer's certificate?
Yes. For every claim you choose: let the system generate the certificate from your engineer's profile and ECSA number, or upload your own signed PDF. The choice is made per claim — you are never locked into one method.
How does subcontractor payment work?
Once COGHSTA pays your claim, SubConTrack calculates what each team is owed based on the stands they completed and their negotiated rate per trade. Pay individually or in a batch payment run. The system allocates oldest claims first and creates a permanent, auditable record of every rand paid.
What does the AI actually do?
Four things: reads your delivery notes and supplier invoices so your team does not have to type; flags low stock before you run out; suggests which invoices match which deliveries; and analyses project pace and bottlenecks on demand. All AI-extracted records are flagged for your team to verify before saving.
Can my site manager and storeman use it on a phone?
Yes. Both have mobile interfaces built for field use — large buttons, simple flows. Site managers submit claims, record deliveries, assign teams, draft weekly programmes, and log daily progress. Storemen record deliveries and issue materials. Any smartphone browser, nothing to install.
Can I manage more than one contract?
Yes. Each contract has its own beneficiary list, claim history, materials ledger, engineer profile, and document set. Your dashboard shows all contracts and you switch in one click. Each tracks its own P&L, stand progress, and subcontractor assignments independently.
How does materials tracking work?
Every store delivery is recorded as a goods received note. Every issuance is logged with a reason — Installed, Damaged, Lost, or Returned. On-hand balance updates automatically. Wastage (Damaged + Lost) is tracked separately and reported in your materials reports. Direct-to-stand deliveries are tracked as consumed without affecting your store balance.
What is the Weekly Programme and Daily Log?
Your site manager drafts a weekly plan — stands, milestones, trades — and submits it for your approval. Each day they log actual progress per trade. When all trades on a stand are marked complete, it moves to Awaiting Inspection and becomes available for your next claim automatically.
What happens if a claim is submitted late?
Claims submitted more than 24 hours after creation are flagged with a late submission alert. The claim is not blocked — your site manager can still submit. The alert is logged and visible in your Risk Register so you are aware of the timing.
How much does it cost?
Pricing is tiered by contract size: R200/unit/month for up to 40 units, R175/unit/month for 41–70 units, and R150/unit/month for 71 units and above — until practical completion is achieved.
